Œ Author will receive notification by email or phone regardless of acceptance or rejection of your abstract/ full paper. If no email or phone call is received after the author notification date, please check your junk email inbox or contact the IET to confirm the status of your paper. 

 Papers requested to be reworked should be submitted in the method mentioned in the notification email by this deadline, in order to be reconsidered for acceptance.

Ž Modifications to the paper (author/title/presentation type etc.) must be made by sending email to icv@theiet.org.cn by 23:59 of 25 August (Beijing time). Any modifications made beyond this date CANNOT be guaranteed to be shown on the final event programme.

 

 

Accepted as an oral presentation?

What you need to do…

  • Register for the conference by Wed. 31 August 2016
  • Create a PowerPoint presentation to present to the audience at the conference and submit these by no later than Mon.12 September 2016.

     

    Oral presentation instructions:

    PowerPoint submission deadline: Mon. 12 September 2016

    • Presentations should last no longer than 15 minutes as we allow approx. 5 minutes per presentation for questions from the audiences
    • Please send your PowerPoint slide file via email to icv@theiet.org.cn by no later than Mon. 12 September 2016. Authors are also asked to include their paper reference number within this email.
    • The slides will be loaded onto the session laptop by the organisers prior to the relevant session.
    • Authors should bring a copy of their slides on a memory stick with them to the conference as a backup.

    Authors that do not present their presentations at the allocated time will not have the paper published.




    Accepted for a poster presentation?

    What you need to do….

      • Register for the conference by Wed. 31 August 2016
      • Create a poster for display at the conference. You will be required to print and bring your poster with you on the day. 


      Poster presentation instructions:

      In addition to your written paper included in the conference proceedings, authors selected for a poster presentation will be asked to produce and bring along a printed poster for display in the poster area at the conference.

      At the conference in the catering / exhibition area there will be a number of large boards for you to display your poster on. The IET will provide Velcro to stick them to the boards. 

      You will be allocated a poster session closer to the date of the conference. During this time you will be expected to be at your poster as it is your opportunity to present your work directly to other delegates. 

      Authors that do not present their posters at the allocated time will not have the paper published.

       

      Your poster display

      • The poster board size is A1 59.4cm*84.1cm
      • You should clearly display the following information on your poster board:
      • The title of your paper 
      • The authors’ names and their affiliations 
      • Your usual contact details (e.g. an email address) to allow delegates to follow up discussion


      Useful tips

      • Your display should consist chiefly of keywords, diagrams, photographs etc.
      • Diagrams and graphs should have clear captions 
      • All text should be easy to read
      • Use colour to emphasise important features
      • All graphs and diagrams should be drawn with thick lines (preferably 1mm or more in width)
      • Handwritten text or diagrams are not recommended 


      Remember…

      • The display should be visually appealing and should contain the essence of your paper in a form that is easy to understand
      • Try to attract the registrants to your poster. Unless they come to it, you cannot expect to have a discussion with them
      • The poster can contain visuals that were not present in your paper
      • The poster display is important. You are recommended to take as much trouble with it as you did in preparing your written paper.


      Licence to publish

      In submitting a paper to ICV 2016, the IET requests the authors to return a licence to publish form for the submitted work. The form must be signed by one of the authors.

      Please insert your paper title and abstract or serial number in the appropriate place. Please scan the signed Licence to publish form in PDF and send to icv@theiet.org.cn

      Authors reserve the following rights:

      • All copyright 
      • All proprietary rights, such as patent right 

      The IET will hold the copyright for the collection of papers, or Proceedings.


      If the IET does not receive one of the above signed forms, we will be unable to publish the paper in the conference proceedings, INSPEC or IEEE Explore.


      Personal data

      Personal data will be processed by the Institution and its associated organisations for the purpose of organising your attendance at this event. It may also be used for the promotion of other IET products and services and contacting you for market research purposes.


      By providing us with your postal address, email address and telephone number you agree that we may contact you by these methods. You can change this preference at any time by either contacting us by email or amending your preferences if you have a conference register online account.


      Accepted papers

      Each paper must have at least one author registered by Wed. 31 August 2016 to avoid the paper being withdrawn from the conference proceedings. Authors may only register against a maximum of two papers. The author must be present at the conference to present the submission either orally or by poster presentation.

      Each paper should be the authors’ original work and previously unpublished in the form submitted.


      You are reminded that the IET or other associated societies cannot meet any travelling or subsistence expenses for authors, either prior to or during the conference.
